Your Privacy Matters to Us

At iCEV, we take privacy seriously — especially because many of our users are students, educators, and families. This notice explains what information we collect, how we use it, and the choices you have. We’ve written it to be clear and direct. If you have questions at any time, please reach out to us at customersupport@icevonline.com.

What This Notice Covers — and What It Doesn’t

This Privacy Notice applies to visitors of the icevonline.com public site as well as, all iCEV subscription products including but not limited to Eduthings and ctecoding.com.

It does NOT apply to third-party websites or apps linked to our site; job applicants or employees; or personal information that iCEV processes on behalf of schools, districts, or other subscribing customers.

If you’re a student or parent/guardian of a student using iCEV’s product sites, your school or district is responsible for that data. Please review our Children’s Privacy Notice and contact your school directly for questions about student records.

To exercise FERPA or COPPA rights, contact us at customersupport@icevonline.com. Note that iCEV does not intentionally market to children and does not share or use information collected for the purposes of marketing to children.

In this Notice, “Personal Information” means any information related to an identified or identifiable individual, or as defined by applicable law.

1. Information We Collect

Depending on how you interact with iCEV, we may collect the following categories of Personal Information:

  • Personal details: Name, registration code, address, phone number, and email address.
  • Account information: Username
  • Financial information: Billing and payment information (e.g., credit/debit card or bank account details).
  • Employment information: Employer name, state, area of education, and job title.
  • Device and automatically collected information: IP address, browsing history, search history, and how you interact with our site. See “Information We Automatically Collect” below.
  • Views and opinions: Feedback, testimonials, and other information you share with us through the Website.
  • Communications: We may record chats, emails, and calls — for example, when you contact support, join a sales meeting, or attend a webinar.

Information You Give Us Directly

We collect information you provide when you browse or use the Website, create an account, request a demo, enroll in a free trial, register for a webinar, download materials, or communicate with us in any other way.

Information We Collect Automatically

Like most websites, when you visit ours, we automatically collect certain technical information using cookies and similar technologies. This includes details about your device, browser, IP address, operating system, and how you navigate our pages. We collect this to improve your experience, keep the site running smoothly, comply with applicable laws, and fraud prevention.

Cookies and Tracking Technologies

We use browser cookies, flash cookies, and web beacons. These help us remember your preferences, speed up your experience, and on our public facing site, support our marketing efforts. Third parties acting on our behalf may also use these technologies to provide us with anonymized usage data.

Information From Other Sources

We may receive Personal Information from partners and their service providers — for example, contact details collected at a conference you attended. We may also gather publicly available information from social media platforms (such as LinkedIn or Facebook), business contact databases, and consumer research services.

2. How We Use Your Information

We use your Personal Information to: 

  • Provide and operate the Website and its content.
  • Deliver and improve the services you’ve requested and fulfill our contractual obligations.
  • Respond to your questions, requests, or communications.
  • Send you updates, marketing materials, and promotional offers that may be relevant to you — including through targeted advertising and requested communication via the public site
  • Send transactional messages such as receipts, account alerts, and customer service responses.
  • Monitor and analyze trends and activities across the Website.
  • Comply with legal obligations and protect the rights and safety of iCEV, our customers, and users.
  • Maintain the security, integrity, and functionality of the Website.
  • Administer and support the Website’s systems.
  • Share with third-party service providers as needed to operate and support the Website (see Section 3).

We do not collect, use, or sell your Personal Information to train large language models (AI).

3. How We Share Your Information

We may share your Personal Information in the following circumstances: 

  • Service providers: Companies that help us operate the Website — including hosting, storage, payment processing, analytics, advertising, email, fraud prevention, and customer service providers.
  • Professional advisors: Accountants, auditors, lawyers, and other advisors, subject to confidentiality obligations.
  • Legal requirements: When required by law, court order, or legal process, or to prevent harm or protect rights and safety.
  • Business transfers: In connection with a merger, acquisition, or sale of all or part of our business.
  • Affiliated companies: Our current and future parent companies, subsidiaries, and affiliates.
  • With your consent: When you direct or authorize a disclosure.

We may also share de-identified or aggregated data that cannot reasonably be used to identify you. 

About Targeted Advertising

We may share identifiers, commercial information, and internet activity data from the public facing site with advertising partners to show you relevant ads on third-party sites and to improve our own marketing. Under certain state privacy laws, this may be considered a “sale,” “sharing,” or “targeted advertising.” See Sections 11, 12, and 13 for your opt-out options. Data from iCEV’s subscription products are not used for marketing or advertising purposes.

4. How We Protect Your Information

We use reasonable technical and organizational safeguards to protect your Personal Information from unauthorized access, loss, misuse, and disclosure. That said, no system is completely secure — we can’t guarantee that information transmitted over the internet will never be intercepted. We encourage you to use strong passwords and to protect your account credentials. 

5. How Long We Keep Your Information

We retain your Personal Information only as long as necessary to fulfill the purposes for which it was collected. When deciding how long to keep information, we consider the type and length of our relationship with you, the services you use, applicable legal obligations, and the impact of deletion on Website functionality. When information is no longer needed, we delete or de-identify it. Product data is retained for 1 year following the termination of a customer’s subscription at which point the data will be destroyed via de-identification or deletion.

6. Children

Our public Website is not directed at children under 13 (or 16 where required by law). We do not knowingly collect Personal Information from children through the Website. If you are under 13, please don’t submit any Personal Information to us.

Parents and guardians: please monitor your children’s online activity and instruct them not to share information on our Website without your permission. If you believe a child under 13 has submitted Personal Information to us through the public Website, please contact us and we will promptly delete it.

If your child is a student using the iCEV Learning Platform, Eduthings and/or other iCEV products, please review our Children’s Privacy Notice for information about how we handle student data, including your rights under COPPA.

7. Links to Other Websites

Our Website may link to external websites. We don’t control those sites and aren’t responsible for their content or privacy practices. Clicking a third-party link takes you away from iCEV — please review the privacy notice of any site you visit.

8. Changes to This Notice

This Notice is effective as of the date at the top. We may update it from time to time. Your continued use of the Website after a change is posted means you accept the updated Notice. We encourage you to review this page periodically.

10. Your Choices

Cookies and Tracking

You can block or delete cookies through your browser settings or our cookie banner. Visit optout.networkadvertising.org for more information. Note that disabling cookies may affect some Website features.

If you use a recognized opt-out preference signal (such as Global Privacy Control), we will honor it in accordance with applicable law. Visit globalprivacycontrol.org to configure your device. Note that your opt-out will apply only to the specific browser/device you configure, and only so long as cookies are not cleared.

Marketing Emails

To opt out of promotional emails, follow the unsubscribe instructions in any marketing message we send. Even after opting out, we may still send you transactional or account-related messages.

11. Additional Information for California Residents

The California Consumer Privacy Act, as amended by the California Privacy Rights Act (“California Law”), gives eligible California residents specific rights over their Personal Information. This section supplements the Notice for California residents only.

Over the past 12 months, we’ve collected the categories of Personal Information described in Section 1 for the purposes described in Section 2. Here’s a summary in California Law terms:

We only use and disclose Sensitive Personal Information as permitted under California Law and not to infer characteristics about you.

Sales and Sharing of Personal Information

We don’t sell your Personal Information for money. However, certain disclosures to advertising partners may qualify as “sales” or “sharing” under California Law. In the past 12 months, this may have included:

We do not knowingly sell or share the Personal Information of anyone under 16 years old.

Your California Privacy Rights

  • Right to Know / Access: Request Personal Information we’ve collected, used, disclosed, or sold about you — including specific pieces of data.
  • Right to Delete: Ask us to delete your Personal Information (subject to certain exceptions). We’ll also direct our service providers to delete it.
  • Right to Correct: Request that we fix inaccurate Personal Information we hold about you.
  • Right to Opt Out: Opt out of the sale or sharing of your Personal Information. Use the “Your Privacy Choices” link on our homepage or submit a request via the link in Section 10.
  • Right to Non-Discrimination: Exercising your rights won’t result in different service or treatment from iCEV (though some features may require certain data to work).

How to Submit a Request

Submit a request using the interactive form at LINK TO BE ADDED or contact us as described in Section 9. To revoke consent for processing, contact us via the methods in Section 9.

We may need to verify your identity before processing your request. We may ask for your name, contact information, last communication date, or a signed declaration. Only you, a parent or guardian (for children under 13), or an authorized representative may submit a request. You may submit a Right to Access request up to twice per 12-month period.

Shine the Light (California Civil Code §1798.83)

California residents may also request information about any Personal Information we’ve shared with third parties for their direct marketing purposes in the prior calendar year. To submit this request, please contact us as described in Section 9 and indicate that you are a California resident making a Shine the Light request.

12. Additional Information for Residents of Other States

Residents of the following states with comprehensive privacy laws in effect also have certain rights: Colorado, Connecticut, Delaware, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, and Virginia.

Depending on your state, your rights may include: 

  • Right to Know / Access: Confirm whether we process your Personal Information and access it, including a portable copy. Residents of Delaware, Maryland, Connecticut, Minnesota, and Oregon may also request a list of third parties to whom their data has been disclosed.
  • Right to Delete: Request deletion of Personal Information we hold about you.
  • Right to Correct: Request correction of inaccurate Personal Information.
  • Right to Opt Out: Opt out of (i) targeted advertising, (ii) sale of your Personal Information, and (iii) profiling decisions with legal or significant effects. We don’t engage in profiling as defined by law, but we may use data for targeted advertising as described in Section 3. Rhode Island residents: we may share Meta, Google, and ZoomInfo as described in section 3.
  • Right to Appeal: Appeal our decision on a privacy rights request.
