Protecting Student Privacy Is a Priority

At iCEV, we’re committed to protecting the privacy of the students who use our platform. This notice explains what personal information we collect from students, how we use it, and the rights parents and guardians have under federal law — including COPPA and FERPA.

Who This Notice Applies To

This Notice only applies to children under 13 who have been enrolled in iCEV’s products and services (e.g., the iCEV Learning Platform, Certifications, Eduthings, and other iCEV products) by their school, district, or other educational institution.

iCEV processes student information only on behalf of and under the direction of our subscribing customers (schools and districts). For questions about a school’s privacy practices, please contact the school or district directly.

1. Information We Collect About Students

We only collect the personal information necessary for students to access and use our services. We don’t require students to share more than is reasonably needed.

Depending on which services a student uses, we may collect:

  • Personal details: First and last name, email address (optional), date of birth, and demographic information (race, ethnicity, gender).
  • Account information: Username, password, security question/answer, and access code.
  • Course-related details: Accommodation requests, enrollment, CTSO participation, work-based learning info, course history, certifications, test scores, assessment results, and career plans.
  • Usage information: Logs, metrics, and usage patterns (e.g., progress and time spent on the platform).
  • Device information: IP address, internet service provider, browser type, and operating system.
  • Communications: Chat messages, emails, and calls when students contact us for support.

Children cannot make their personal information publicly visible through iCEV’s services.

2. How We Collect Student Information

Directly from Students

We collect some information directly from students during enrollment, when they reach out for support, or when they communicate with us.

From Schools and Teachers

Schools, districts, counselors, administrators, and teachers may provide us with student account details, enrollment information, and other course-related data.

From Observability and Monitoring Tools

We use third-party tools (such as Datadog and Azure Application Insights) to monitor service performance and security. These tools may collect usage information using persistent identifiers. We configure them to minimize or mask personally identifiable information wherever feasible, and we apply strict access controls and retention limits. These identifiers are not used to contact individual students, build profiles, or serve behavioral advertising.

From Automatic Data Collection Technologies

Like most online services, we use technologies such as cookies and pixel tags to collect device and usage information. These are used for internal operations — supporting security, improving services, and analyzing performance — not for advertising to students. We configure these tools to minimize personal data collection and apply the same access controls described above.

3. How We Use Student Information

We use student personal information only for educational purposes. Specifically:

  • To allow students to register for and access the Services.
  • To provide, maintain, and improve the Services.
  • To respond to student requests for support.
  • To communicate with schools and districts about the Services (e.g., outages or updates).
  • To deliver more personalized learning experiences through automatic data collection technologies.
  • To develop future products and services.
  • To monitor trends, usage, and activity within the Services.
  • To comply with legal obligations and protect the safety and integrity of our Services.
  • To support system administration.
  • To share with third-party service providers that support our operations (see Section 4).

We do not advertise to students or use student information for targeted advertising.

All information collected from students is used for educational purposes only.

4. Who We Share Student Information With

We may share student information in the following circumstances:

  • Teachers, counselors, and administrators: Who can view grade reports and other student activity through the Services.
  • Parents or guardians: At the direction of the school/district or as required by law.
  • Service providers: Vendors that support our internal operations, including assessment technology providers, SSO/authentication services, translation services, hosting, email, fraud prevention, analytics, and monitoring providers. All are bound by contract to use student data only for the specified purpose and to keep it confidential.
  • Professional advisors: Accountants, auditors, and lawyers, subject to confidentiality obligations.
  • Legal compliance: When required by law, court order, or subpoena, or to prevent harm or protect rights and safety.
  • Business transfers: In connection with a merger, acquisition, or sale of all or part of our business.
  • Affiliated companies: Our current and future parent companies, subsidiaries, and affiliates.
  • With parental consent: When a parent or guardian has provided verified consent.

We may also share de-identified or aggregated information that cannot be used to identify individual students.

5. How Long We Keep Student Information

We keep student personal information only as long as necessary to fulfill the purpose for which it was collected — taking into account the type of services used, the nature and duration of the relationship, and the impact of deletion on platform functionality.

When information is no longer needed, we delete or de-identify it using reasonable security measures to prevent unauthorized access or use. See the iCEV Privacy Policy for more details.

6. How We Protect Student Information

We use reasonable security measures, including encryption, to protect the confidentiality, security, and integrity of student personal information. No system is completely impenetrable, however, and we cannot guarantee that information transmitted over the internet will never be intercepted.

7. Parent and Guardian Rights

Rights Under COPPA and FERPA

Under COPPA, parents and guardians can review, correct, or request deletion of their child’s personal information, and can refuse to permit further collection or use of their child’s information.

Under FERPA, eligible students and parents/guardians have the right to inspect, review, and request amendment of education records held by iCEV.

8. Consent and Legal Basis

iCEV contracts with schools and districts to provide services to students solely for the educational use and benefit of those subscribing institutions and their students

Under COPPA, iCEV is permitted to rely on consent provided by schools and districts acting as agents for parents when collecting and processing student personal information for these educational purposes.

If iCEV ever wishes to collect or use student personal information for any other commercial purpose, we will first obtain verified parental consent as required by COPPA.

9. Changes to This Notice

This Notice is effective as of the date at the top. We may update it from time to time. While we will make commercially reasonable efforts to notify schools and parents of material changes, we encourage schools, parents, and guardians to review this Notice periodically.

COPPA Direct Notice to Schools and Districts

Who This Notice Is For

This notice is for schools, districts, and other educational entities that have contracted with iCEV to provide services to their students. It describes iCEV’s data practices for students under age 13, as required by the Children’s Online Privacy Protection Act (COPPA).

Schools and districts: it is your responsibility to ensure that parents receive copies of this notice and our Children’s Privacy Notice.

CEV Multimedia, LLC (“iCEV”) provides this notice to schools, districts, and other educational entities (“Customers”) that have contracted with us to provide services to their students.

Under COPPA, operators must obtain verifiable parental consent before collecting personal information from children under 13. However, when a school or district contracts with an operator like iCEV to provide services for educational purposes only, the school/district may act as the parent’s agent and authorize collection on the parent’s behalf. This notice is our required COPPA direct disclosure to you as our Customer.

When a student uses our services, iCEV intends to collect the following types of personal information:

  • Personal details: First and last name, email address (optional), date of birth, and demographic information (race, ethnicity, gender).
  • Account information: Username, password, security question/answer, and access code.

  • To support system administration.
  • To share with authorized third-party service providers as needed (see Section 3).

All student information is used for educational purposes only. We do not advertise to students.

3. When Student Information May Be Shared

Student personal information may be shared in the following circumstances:

Note on Third-Party Disclosure Under COPPA

Under COPPA, parents have the right to withhold consent for disclosure of personal information to third parties, except where such disclosure is integral to the Services. At this time, iCEV does not “disclose” personal information to “third parties” as those terms are defined under COPPA in a way that would give rise to this right.

4. School and District Choices

iCEV enables Customers to review or request deletion of information collected from their students. Customers may also request that we stop collecting or using information from their students. To make such a request, please contact us using the information in Section 7.
