Clever Rostering Integration Guide

Automatically sync teachers, students, and classes from Clever into iCEV to keep your rosters accurate and up to date.

Before getting started:

  • Please review iCEV's System Requirements with your technology department before configuring the integration.
  • Prior to enabling the integration, iCEV requires written permission from your District Administrator, Technology Department, and Clever Administrator. Approval emails should be sent to integrationsupport@icevonline.com.

Important Notes:

⚠️ The Clever integration only provides iCEV with the data that is shared through your Clever roster feeds.

  • As a result:
    • User information, course data, and roster details will appear in iCEV exactly as they are received from Clever.
    • If multiple roster sections share the same name, those sections will appear with the same name in iCEV.

Things to consider before using the integration

  • iCEV courses are not automatically created for teachers.
  • Student roster changes will only sync to iCEV courses that have been linked to a Clever roster.
  • Teachers must have a subject area assigned to their account before they can create iCEV courses.
  • Organizational Administrators will not see an import option for teachers who already have an iCEV account.
  • We strongly recommend maintaining at least one designated iCEV Organizational Administrator for your organization.
  • Grade passback is not available through the Clever Rostering Integration.

Clever Administrators Guide

Step 1 – Request the iCEV application

  1. Log in to your Clever Dashboard.
  2. Select Applications.
  3. Click Add Applications.
  4. In the search bar, enter iCEV.
  5. Locate the iCEV application and select Request App.
  6. Complete the requested information and click Send Integration Request.

Once your request has been submitted, the iCEV Integrations Team will review and approve it. After approval, the iCEV application will appear in your Clever dashboard and you can continue with the integration setup.

Step 2 - Configure Sharing Permissions

Once the iCEV application has approved your connection request, you'll need to choose which users and classes will be shared from Clever to iCEV.

While sharing permissions can be configured in several ways, we recommend selecting Standard Sharing and Share by Rules. This option gives you greater control over the data shared with iCEV by allowing you to define exactly which teachers and sections should be included. It also helps ensure that only users who need access to iCEV are rostered through the integration.

We also recommend creating the following two sharing rules:

  1. Custom Share Teachers to specify which teachers should be shared with iCEV.
  2. Custom Share by Section to specify which classes and enrolled students should be shared with iCEV.

⚠️ Important: Using both rules helps keep your roster data accurate and ensures that only licensed users are included in the integration. Sharing additional users may create student data privacy and compliance concerns.

iCEV Org Administrators’ Guide

This process should be completed by the Org Administrator.

Importing Teachers from Clever

  1. Log In as Org Admin
    • Ensure you're logged in with an Org Admin account.
    • Your organization must be set up to use Clever for automated rostering.
    • After logging in, you'll land on the Dashboard page.
  2. Go to Manage Account and Teachers
    • Click on Manage Account.
    • Then select Teachers to view the current list of teachers in the system.
  3. Teacher Management

Here, you'll see a list of teachers who are already using the iCEV system.

  4. Import from Clever
    • Click the Import from Clever button at the top.
    • A list of teachers shared via Clever (but not yet in iCEV) will appear.
  5. Search and Select Teachers
    • Use the search bar to filter by name or section (e.g., type "AG" to find teachers with AG classes).
    • Check the boxes next to the teachers you want to import.
    • Click Next.
  6. Assign Licenses
    • Assign licenses to the selected teachers:
    ◦ Student Enrollment Slots

  4. Choose How to Browse Content

You can explore content using two different views:

Use the radio buttons at the top of the page to switch between views at any time.

  11. Review Automatically Added Lessons

When you select Add All Lessons, every lesson from that course is added to your custom course queue automatically.

Removing a lesson from either location removes it from your customized course.

  13. Search for Content

Use the search bar to find specific content quickly.

Search results are matched based on:

    • Course titles when using Course View
    • Lesson titles when using Lesson View

Switch to Lesson View when searching for specific lessons rather than entire courses.

You can also narrow your results by subject area to find relevant lessons more efficiently.

  15. Add Lessons from Favorites

If you have previously favorited courses, access them through the My Favorites tab.

While individual lessons cannot be favorited within the Build Your Own Course workflow, favorite courses can help you quickly locate and add lessons to your custom course.

    From here, you can:

    • Add lessons
    • Remove lessons
    • Rearrange lesson order

This flexibility allows you to update your course as your classroom needs change.
