ClassLink Rostering Integration Guide

Automatically sync teachers, students, and classes from ClassLink into iCEV to keep your rosters accurate and up to date.

Before getting started:

  • Please review iCEV's System Requirements with your technology department before configuring the integration.
  • Prior to enabling the integration, iCEV requires written permission from your District Administrator, Technology Department, and ClassLink Administrator. Approval emails should be sent to integrationsupport@icevonline.com.

Important Notes:

⚠️ The ClassLink integration only provides iCEV with the data that is shared through your ClassLink roster feeds.

  • As a result:
    • User information, course data, and roster details will appear in iCEV exactly as they are received from ClassLink.
    • Any first or last names masked by ClassLink's DataGuard feature will remain masked when shared with iCEV. Please note that DataGuard masking and PAW masking are separate features and may produce different results.
    • If you have your data masked, please be aware that we may request that you unmask data for a time range so that we are better able to troubleshoot issues that may arise and import data.
    • If multiple roster sections share the same name, those sections will appear with the same name in iCEV.

Things to consider before using the integration

  • iCEV courses are not automatically created for teachers.
  • Student roster changes will only sync to iCEV courses that have been linked to a ClassLink roster.
  • Teachers must have a subject area assigned to their account before they can create iCEV courses.
  • Organizational Administrators will not see an import option for teachers who already have an iCEV account.
  • We strongly recommend maintaining at least one designated iCEV Organizational Administrator for your organization.
  • Grade passback is not available through the ClassLink Rostering Integration.

ClassLink Administrators Guide

Step 1 - Add the iCEV application in Roster Server for Rostering

  1. Sign in to ClassLink Roster Console as an Administrator
  2. Go to Apps > All Applications.
  3. Click the "+ ADD" button
  4. Search for iCEV
    a. Click "Add"
    b. At this point, you've added the application to your district's Roster Server, but you haven't necessarily given it access to roster data yet.

Step 2 - Configure sharing rules in Roster Server

Sharing rules are configured within ClassLink Roster Server and determine which data is shared with iCEV.

⚠️ Important: Only share teachers, students, and classes for which iCEV licenses have been purchased. Sharing additional data may create compliance concerns related to student data privacy requirements.

While organizations can configure sharing rules however they prefer, we recommend creating:

  • One rule for Teachers
  • One rule for Classes

This approach helps ensure that only the necessary data is shared with iCEV.

Create the Teacher Sharing Rule

Navigate to:
Apps > Rule Management

  1. Click the + button to create a new rule.
General Settings
  • Rule Name: iCEV Teachers
  • Rule Description: Optional
  • Notes: Optional
  • Applicable Dates: Typically set to the current school year
Permissions
  1. Select Select by Teacher.
  2. Choose only the teachers who have access to iCEV.
  3. Click Save.
Advanced Settings (Check the following boxes)

Users

  • Include Primary Teachers
  • Include Students

Orgs

  • Include Student Orgs
  • Include Teacher Orgs
  • Include Other User Orgs
  • Include Parent Orgs
  • Include Class Orgs
  • Include Course Orgs
  • Include Enrollment Orgs

Enrollment Records

  • Include Active Enrollments
  • Include Expired Enrollments
  • Include Future Enrollments

Academic Sessions

  • Include Course Academic Sessions
  • Include Class Academic Sessions
Assignments
  • Select iCEV

Create the Class Sharing Rule

Navigate to:
Apps > Rule Management

  1. Click the + button to create a new rule.
General Settings
  • Rule Name: iCEV Classes
  • Rule Description: Optional
  • Notes: Optional
  • Applicable Dates: Typically set to the current school year
Permissions
  1. Select Select by Class.
  2. Choose only the classes using iCEV.
  3. Click Save.
Advanced Settings (Check the following boxes)

Users

  • Include Primary Teachers
  • Include Students

Orgs

  • Include Teacher Orgs
  • Include Other User Orgs
  • Include Parent Orgs
  • Include Class Orgs
  • Include Course Orgs
  • Include Enrollment Orgs

Enrollment Records

  • Include Expired Enrollments
  • Include Future Enrollments

Academic Sessions

  • Include Course Academic Sessions
  • Include Class Academic Sessions
Assignments
  • Select iCEV

⚠️ Best Practice

To ensure accurate rostering, periodically review your sharing rules and confirm that only active teachers, students, and classes with iCEV access are being shared through ClassLink. This helps maintain clean roster data and supports student data privacy requirements.

Step 3: Install the iCEV Application on ClassLink Dashboard

⚠️ Please Note:

  • This step only affects the LaunchPad tile and Single Sign-On (SSO) experience for teachers and students. It is not required for rostering data to be shared with iCEV.
  • Users can be rostered into iCEV without having the iCEV application added to their LaunchPad.
  • The Roster Server and LaunchPad/OneClick are separate ClassLink features and function independently of one another.
  1. Sign in to ClassLink LaunchPad with an administrator account.
  2. Open the ClassLink Management Console.
  3. Select Applications.
  4. Click Add/Assign Apps.
  5. Search the ClassLink App Library for iCEV.
  6. Locate the iCEV (OAuth2) application
  7. Select Assign App.
  8. Choose the users, groups, or schools that should have access to the application, then close the assignment window.

From the My Courses page, click Add Course to begin creating a new course.

  4. Choose How to Browse Content

You can explore content using two different views:

Use the radio buttons at the top of the page to switch between views at any time.

  11. Review Automatically Added Lessons

When you select Add All Lessons, every lesson from that course is added to your custom course queue automatically.

    • Click the Remove (-) button from the lesson list.
    • Click the Remove (-) button directly from the course queue.
    • Click Remove All Lessons above the course queue to clear all selected lessons.

Removing a lesson from either location removes it from your customized course.

  13. Search for Content

Use the search bar to find specific content quickly.

Search results are matched based on:

    • Course titles when using Course View
    • Lesson titles when using Lesson View
  14. Search by Individual Lesson

Switch to Lesson View when searching for specific lessons rather than entire courses.

You can also narrow your results by subject area to find relevant lessons more efficiently.

  15. Add Lessons from Favorites

If you have previously favorited courses, access them through the My Favorites tab.

While individual lessons cannot be favorited within the Build Your Own Course workflow, favorite courses can help you quickly locate and add lessons to your custom course.

  16. Review Your Selected Lessons

As you build your course, review the lesson queue at the top of the page.

    From here, you can:

    • Preview lessons

    • Verify lesson selections
    • Make adjustments before saving

When you are satisfied with your lesson selections, save the course.

    • Visible to Students — Lessons become available to students immediately after the course is saved.
    • Hidden from Students — Lessons remain unavailable until you manually make them visible later.
  19. Save Roster Assignments

Click Save to apply your course roster assignments and visibility settings.

If you do not want to configure these settings now, select Skip and return to them later.

  20. Save Your Custom Course

Your customized course will be added to your My Courses page and will appear at the top of your course list.

  21. Edit Your Course Later

You can continue customizing your course at any time.

    • Add lessons
    • Remove lessons
    • Rearrange lesson order

This flexibility allows you to update your course as your classroom needs change.
